GDPR
To meet the General Data Protection Regulation (GDPR) compliance requirements, Spinning Clock has implemented strong data management and governance processes. Additionally, all data relating to clients is audited on a regular basis to ensure that it is complete, accurate, and that clients have given their consent for it to be used.
All data is held digitally on Spinning Clock’s on premise server which is fully encrypted, firewall and password protected. The server is regularly maintained and audited and is only accessed by Spinning Clock’s Managing Director and Spinning Clock’s approved Server Technician.
Spinning Clock holds data on all of its clients. This includes details such as: point of contact, company address, project and financial information (Quotes, Invoices, Purchase Orders, etc.) Spinning Clock uses this information as part of its project management procedures. It is appropriate for Spinning Clock to retain this data for as long as the client holds an account.
Even after the account has been closed, Spinning Clock may need to continue holding some of this information for legal and operational reasons. After an account is closed, project files are moved to an encrypted, firewall and password protected archive server. If a client wishes to have their data deleted, we acknowledge through the terms of GDPR that this is an acceptable appeal and consent may be withdrawn at any time once a written request has been received.
In regards to physical copies of digital data – financial documents (Quotes, Invoices, Purchase Orders, etc.) are stored in a secure and ordered filing system, accessible only by Spinning Clock’s Accounting team. Additional print-outs of a client’s project information are promptly shredded after use.
No services purchased from Spinning Clock are shared with any additional clients. All client and project information is kept separately in a secured CRM system (Synergist) located on Spinning Clock’s on premise server. The client’s dedicated Project Management team have access to this information (through the use of individual logins) in order to guarantee the provision of high quality services.
Spinning Clock has taken measures to ensure that all staff are trained in GDPR compliance. Additional information has also been drawn up and is accessible to all departments in regards to Disaster plans and day-to-day compliance checks. Additional sections to Spinning Clock’s Company Policy and Staff contracts have also been implemented to make aware and comply with GDPR. Furthermore, Spinning Clock audits each project through a Data Protection Impact Assessment (DPIA) to help identify and minimise the data protection risks of each project.
